A small fleet's paperwork usually comes down to a few files: a maintenance spreadsheet with truck numbers, last PM mileage, and DOT annual dates; an Excel rate calculator with a cost-per-mile figure nobody has updated since fuel moved; and an AR tab tracking which brokers owe what. The numbers that matter are all-in cost per mile across fuel, driver pay, insurance, truck payments, and maintenance; rate per mile by lane; deadhead percentage; PM due dates by mileage; and days to get paid, with broker terms of 30 that stretch to 45 and beyond.

The failures are costly in very specific ways. A truck rolls past its PM interval because the sheet was not updated after the last service, and the repair costs five times the oil change. A backhaul gets accepted below all-in cost because the real number was not at hand when the broker called. A driver applicant goes cold because the follow-up lived in someone's inbox, and recruiting is the hardest problem most fleets have. Invoices age past 45 days because nobody owns the call list.
